In wholesale distribution, one fixed selling rate rarely works for every buyer. A distributor often sells the same product at ₹180 to a super-stockist, ₹195 to a dealer and ₹210 to a local retailer. When billing staff type these rates by hand during the evening rush, mistakes happen, and a single typing slip can wipe out the margin on the whole bill.
When you set up party-wise rates and quantity slabs in your billing software, the agreed rate comes up by itself: the software picks the price from the party and the order quantity. That stops margin leaks, avoids disputes with buyers and keeps your GST invoices accurate.
What party-wise pricing means in wholesale
Every buyer has a different relationship with your business. A semi-wholesaler who buys daily on cash cannot be billed at the same rate as a retailer who orders once a month. Party-wise pricing lets you save a net rate, special rate or discount for each party instead of depending on one standard item price. For example, if a carton normally sells at ₹1,000, the software can load ₹920 for Party A and ₹950 for Party B as soon as you select their account.
This keeps the counter moving: your team does not negotiate rates during the rush, and a new operator can make an accurate bill without calling you for approval. It also leaves a clear record. If a customer questions an old invoice or your accountant reviews margins, every party rate and discount can be traced in the ledger.
How quantity slabs and tiered rates work
Tiered rates are usually set up in one of two ways: by customer category (distributor, wholesaler, retailer) or by quantity. Set them up in four steps:
- Fix the base rates in the item master. Enter the MRP, purchase rate and default wholesale rate. For example, an item with an MRP of ₹500 and a purchase cost of ₹350 might have a standard wholesale rate of ₹420.
- Create quantity slabs. For instance: 1–50 pieces at ₹420, 51–200 pieces at ₹400, and 201 pieces or more at ₹380 per piece.
- Link each party to a category or rate. Put every buyer in a dealer category, or save the special rate agreed with that party, so the right rate comes up on the invoice.
- Set a floor rate. Decide the lowest rate your staff may bill at for each item or group, so nobody sells below cost by mistake during a busy hour.
How party rates affect GST on the invoice
GST is charged on the transaction value. A discount shown on the invoice at the time of sale is deducted from that value, so when you bill a party at its special net rate, GST is worked out on that net rate, not on the list price. A discount given later, such as a turnover rebate at the end of the month, is adjusted through a credit note. Since 1 October 2025 the supplier can reduce its GST on such a credit note only if the buyer has reversed the matching input tax credit.
Since the GST rate changes of 22 September 2025, most goods fall in two main slabs, 5% and 18%, with 40% for a short list of luxury and sin goods. For a few items the rate itself depends on the price per piece. The best-known example is readymade garments: up to ₹2,500 per piece they attract 5% GST, and above ₹2,500 per piece 18% (before the change the limit was ₹1,000, with 12% above it).
For such items a party discount can change the rate, not just the amount. Your billing software should work out the GST rate from the net price per piece on every line, and the discount must be genuine and shown on the invoice.
Here is how it works for a garment wholesaler billing two parties:
| Party | Quantity | List rate per piece | Discount per piece | Net rate per piece | GST rate | GST on the line |
|---|---|---|---|---|---|---|
| Retailer (standard rate) | 20 pcs | ₹2,700 | ₹0 | ₹2,700 | 18% | ₹9,720 |
| Distributor (bulk slab) | 100 pcs | ₹2,700 | ₹300 | ₹2,400 | 5% | ₹12,000 |
Before you set up slabs like these, check the current rate for your HSN code on the CBIC rate pages.
Party rates for field sales and mobile orders
Salesmen booking orders on distributor routes cannot work from paper rate sheets. If a salesman quotes an old price or promises stock you do not have, you get delivery delays and billing disputes.
With the ValueSoft CSR App, field staff book orders, check stock and share invoices from their phone, synced with the back office in real time, so orders reach billing without being typed again. At the distributor counter, ValueSoft FMCG Wholesaler & Distributor Software handles case/piece billing, schemes and QPS, salesman-wise billing and godown stock.
Retailers can also order directly. With the ValueSoft eRetail App, your customers place orders, check stock and see their ledger and dues on their phone.
Good habits for rate lists and schemes
- Keep one master rate list. When a company revises its prices, update the rate list in one place (import it from Excel where your software allows) instead of changing bills one by one.
- Set floor rates. A minimum rate for each item group stops unauthorised discounts at the counter.
- Review margins every month. Compare sale rates with purchase rates item by item to catch rates that have slipped below your target. ValueSoft inventory software shows stock and reports by item, batch and godown.
- Check party ledgers and credit notes. At month end, match each party's rebates, cash discounts and slab rates with what was agreed, and make sure every credit note is backed by the buyer's ITC reversal where needed.

Frequently asked questions
How do I bill dealers and retailers at different rates without calculating every time?
Save a rate for each customer category or for each party, and quantity slabs in the item master. When you select the party and enter the quantity, the billing software picks the agreed rate by itself.
Can a party discount change the GST rate on an invoice?
For most goods, no: the rate depends on the HSN code, and a discount shown on the invoice only lowers the taxable value. For a few items the rate depends on the price per piece. Readymade garments, for example, attract 5% GST up to ₹2,500 per piece and 18% above it since 22 September 2025, so the net price per piece decides the rate.
How are discounts given after the sale handled under GST?
Through a credit note. Since 1 October 2025 the supplier can reduce its GST on such a credit note only if the buyer has reversed the matching input tax credit.
