What is GSTR-2B reconciliation?
GSTR-2B reconciliation means matching the purchase bills in your books with the supplier invoices the GST portal shows in your GSTR-2B, so that you claim only the input tax credit (ITC) you are allowed. GSTR-2B reconciliation software does this matching for you and lists the bills that don't agree, so you can sort them out before you file GSTR-3B.
Two terms first. ITC is the GST you paid on purchases, which you set off against the GST you collect on sales. GSTR-3B is the return in which you pay your tax and claim that ITC.
What problem does it solve?
Small businesses and their accountants often say things like this:
- "Every month my accountant downloads 2B and ticks the bills one by one in Excel. It takes days."
- "A supplier forgot to upload my bill in GSTR-1, and I only found out months later."
- "I don't know whether I can claim ITC on a bill that's in my books but not in 2B."
Reconciliation software answers all three: the matching is done for you, missing bills show up so you can chase the supplier, and you see clearly which credit is in GSTR-2B and which is not.
What is the difference between GSTR-2A and GSTR-2B?
Both are statements the GST portal builds from what your suppliers file, and you cannot edit either of them. The big difference: one keeps changing, the other is fixed for the period.
| Point | GSTR-2A | GSTR-2B |
|---|---|---|
| What it is | A statement of your inward supplies (purchases), built from your suppliers' filings | An auto-drafted ITC statement that shows the credit available against each document |
| Does it change? | Yes. It is updated as and when suppliers upload or change details | No. It is a static statement for the period |
| When is it ready? | It builds up through the period | 14th of the next month (quarterly filers: 14th of the month after the quarter) |
| What is it used for? | Seeing what your suppliers are uploading | Taking the right ITC in GSTR-3B, whose ITC table is auto-filled from it |
| Can you edit it? | No, read-only | No, read-only |
Since 1 October 2024 the portal also has the Invoice Management System (IMS). Supplier invoices show up there first, and you can accept, reject or keep each one pending on the GST portal. Invoices you don't act on are treated as accepted, accepted invoices go into GSTR-2B as available ITC, and pending ones stay out of it until you decide.
Why does reconciliation matter for ITC?
Since 1 January 2022, the law ties your ITC to what your suppliers report:
- Section 16(2)(aa) of the CGST Act (added by the Finance Act, 2021 and in force from 1 January 2022) allows ITC on an invoice or debit note only if the supplier has furnished its details in their statement of outward supplies and those details have been communicated to you.
- Rule 36(4) of the CGST Rules (as substituted from 1 January 2022) says no ITC on such invoices or debit notes unless the supplier has furnished them in GSTR-1 or the invoice furnishing facility (IFF), and they have been communicated to you in GSTR-2B.
In plain words: if a bill is in your books but not in your GSTR-2B, you normally cannot claim its ITC yet. The supplier has to report it first. The GST portal's own FAQ advises taxpayers to reconcile GSTR-2B with their books and make sure no credit is taken twice, credit is reversed where the law requires, and tax under reverse charge is paid.
How does GSTR-2B reconciliation work in ValueSoft?
ValueSoft's Auto GSTR-2 Invoice Reconciliation matches the invoices on the GST portal with the purchases in your books. A typical month looks like this:
Keep your purchase book complete
Enter purchase bills on supplier-wise screens, or import them from your supplier's PDF, CSV or Excel file with the same one-time mapping per supplier. Every purchase you record is one less mismatch to chase later.
Run the internal audit
ValueSoft validates your data and your suppliers' GSTINs and alerts you to errors, so you can fix a wrong GSTIN in your books before you start matching.
Bring in the supplier invoices
Download the auto-populated purchase bills from the portal into ValueSoft, without logging in to the portal again and again.
Pick one month or many
Reconcile a single month, or several months together. That helps when you are catching up on old periods.
Let ValueSoft do the matching
ValueSoft matches the portal invoices with your purchase entries and shows the mismatches before you file, so you claim the right ITC.
Follow up with suppliers
For bills missing from GSTR-2B, ask the supplier to report or correct them. The GST portal's Communication Between Taxpayers facility lets you message a supplier; see our step-by-step guide.
Club tax and file GSTR-3B
ValueSoft clubs the input and output tax for the month and passes the GST payable entry. You can then file GSTR-1 and GSTR-3B straight from the software.

Can a small business reconcile GSTR-2B in Excel?
Yes. The GST portal lets you download GSTR-2B in Excel or JSON, and many small businesses match it by hand against their purchase register. That works when you buy from a handful of suppliers. It gets slow when you buy from many companies every month, when suppliers file late, or when you have to look back over several months. Software does the matching for you and keeps every month in the same place as your books.
If your CA files your returns, ValueSoft can also export GSTR-1 in Excel, CSV or JSON, and export your accounting data to Tally, so your CA can work in the format they prefer. See ValueSoft for chartered accountants.
