ValueSoft is desktop software. That one fact decides most of the answers on this page: your books live on your computer, and they only leave it when you choose a feature that needs to send them somewhere. This page explains each of those cases in plain words. It describes how ValueSoft works today; where we haven't listed something, don't assume it.
Where does your data live?
When you install ValueSoft on a Windows PC, your company data (sale and purchase bills, items and batches, parties, stock, ledgers and GST reports) is saved on that computer. You can bill, manage stock and keep accounts without internet.
Your data leaves your computer only in these cases:
Mobile apps
The eOwner, eRetail and CSR apps exchange the data they show (orders, stock, outstanding and reports) with ValueSoft through Kala Softech's server.
Backups you choose
A backup to your own Google Drive, or to our backup server if you opt in.
Government systems
e-Invoices, E-Way Bills and GST returns you generate or upload go to the government portals.
Sharing you start
Bills, ledgers and reports you send by WhatsApp, SMS or email go to the person you send them to.
How do backups work?
Backups are under your control. You can back up to:
- Your computer or a separate drive, such as an external hard disk or pen drive.
- Your own Google Drive, so a copy stays safe even if the PC fails.
- Kala Softech's backup server, if you opt in. This needs an internet connection.
If you run ValueSoft offline, you keep your own backups. A good habit: one backup on the PC, one on a separate drive or Google Drive, and a test restore now and then so you know the backup works. Our video tutorials show backup and restore step by step (in Hindi).
What do the mobile apps send?
The eOwner, eRetail and CSR apps let owners, retailers and salesmen see stock, outstanding and reports and place orders from a phone. To do that, the apps download product and customer data from our server and upload orders back, where ValueSoft can turn them into bills. If you don't use the apps, this doesn't happen.
Each app's Google Play listing shows its data-safety declaration (what it collects and shares):
You can ask us to delete your app account on the delete account page.
Who can open your books?
On your PC, anyone who can use the computer can reach the files on it, so the first lock is your Windows login. Inside ValueSoft, you can add separate users for your staff with controlled access, so each person sees what their work needs.
Our support team helps by phone, WhatsApp and remote sessions. A remote session only starts when you open it and share the access code with us, for setup, data migration or a problem you asked us to fix. Close the session when the work is done, and never share an access code with someone who calls you claiming to be from us. Check the number against our support page.
e-Invoice and E-Way Bill
ValueSoft creates e-Invoices and E-Way Bills from your bills. To do that it connects to the government systems, which give software access through a registered API user. You create that API user yourself on the e-invoice portal; our e-invoice registration guide shows each step. Treat the API username and password like a bank password and don't share them on chat.
Keeping records and getting your data out
Because ValueSoft keeps data on your PC, we don't delete your records; they stay until you remove them. GST law asks registered businesses to keep books and records for 72 months from the due date of the annual return for the year they relate to (Section 36, CGST Act), so plan your backups for at least that long.
Your data is never locked in. You can export:
- Reports in Excel, PDF or image format
- GSTR-1 in Excel, CSV or JSON for the GST portal
- Accounting data to Tally, for your CA
- Sales bills in CSV or XML for your customers
Personal information on our website
Our website asks for a few details only when you ask for something: the demo form takes your name, company, mobile number, city and pincode; the download page checks your mobile number with an OTP. We use these to contact you about ValueSoft. The privacy policy has the full legal text. To ask what we hold about you, or to have it corrected or removed, email info@kalasoftech.com.
Five habits that keep your books safe
Lock the PC
Use a Windows password, and don't share one login among all staff.
Give each person their own ValueSoft user
Then access matches each person's work.
Keep a backup off the computer
On a separate drive or your Google Drive, and test a restore now and then.
Keep Windows and antivirus up to date
Most data loss starts with a virus or a failed disk, not with the billing software.
Share remote access codes only with our team
Call us on the number on our support page if you are not sure who is asking.
Found a problem?
If you find a security weakness in our website or apps, email info@kalasoftech.com with what you found and how to see it. Please give us time to fix it before sharing it publicly.
