What problem does multi-godown software solve?
When stock sits in more than one place, the usual complaints sound like this:
- "The salesman promised twenty cases, but they were lying in the other godown." Total stock looked fine, but the godown that had to deliver was empty.
- "I don't know what my second godown is worth." When each godown is counted on paper, the stock value for the bank or the year-end is a guess.
- "Goods moved from one godown to another and nobody wrote it down." Now both godowns are wrong, and the difference shows up months later.
ValueSoft keeps every godown's stock in one software. You see what is where, move goods with a record, and see each godown's stock separately.
What does ValueSoft track for each godown?
Godown-wise stock
Stock in hand for each godown, in primary or secondary units, such as cases or pieces.
Batch and expiry
Batch-wise and godown-wise stock with expiry tracking.
Godown-wise billing
Bill from a godown, with bill series per company and salesman-wise billing.
Stock transfer
Move goods between godowns, stores, branches or sub-stockists, with the transfer tracked.
Godown-wise stock reports
What each godown holds; stock value is available at purchase price, sale price or MRP.
Company-wise view
See stock godown-wise or company-wise. C&F agents and stockists keep stock and accounts principal-wise.
Who needs multi-godown inventory software?
You need it as soon as your stock sits in more than one place. Common setups include:
Distributors with outlying godowns
A main godown in the city and smaller points closer to the markets you serve.
Traders with a shop and a godown
A small shop in a busy market and a godown elsewhere in the city, where space costs less.
C&F agents and stockists
Principal-wise stock, transfers to branches and sub-stockists, and claims with each company.
Retail chains
Store-wise and godown-wise stock for several shops, with goods moved between them.
Industrial suppliers
Spares, hardware and consumables in many sizes and grades, kept godown-wise.
How does multi-godown stock work in ValueSoft?
Create your godowns
Set up each godown, shop or storage point as a separate godown, for example a main godown in Patna and a smaller one closer to your market.
Keep every item in its godown
Every item can be kept in a godown. Stock is held item-wise and godown-wise, and batch-wise with expiry where you need it.
Bill from the right godown
Use godown-wise billing so each sale comes out of the godown that delivers it. Bill series per company and salesman-wise billing work alongside.
Check before you promise
Before a salesman promises delivery, check godown-wise stock. Salesmen on the CSR App also see live stock with batch and expiry.
Transfer stock with a record
When goods move between godowns, or to a branch or a sub-stockist, make a stock transfer in ValueSoft, so both ends stay right.
Follow the movement
Movement analysis and stock transfer reports show what moved. The location / godown summary shows where your stock sits now.
Check stock and value
See stock godown by godown, and take stock value at purchase price, sale price or MRP for a bank loan, an audit or your year-end.
Re-order and watch expiry
Use re-order levels and orders to suppliers to refill stock, and company-wise near-expiry reports (30, 60 or 90+ days) to sell or return goods before they expire.
Near-expiry goods are easy to forget in a back godown. When you bill, ValueSoft offers the earliest-expiry batch first (FEFO: first expiry, first out), so older batches go out before newer ones. Company-wise near-expiry reports show what to sell or return first, and the self-breakage option moves expired goods out of stock in one step. Breakage and expiry claims are then tracked and settled with the company, so goods that expired in a far godown are not simply written off.

Which godown questions does ValueSoft answer?
| Your question | Where ValueSoft answers it |
|---|---|
| What is in my second godown right now? | Godown-wise stock report, in primary or secondary units |
| What did we move between godowns this month? | Movement analysis and stock transfer reports |
| What does each godown hold? | Godown-wise stock reports |
| Which batches are close to expiry? | Batch summary (Mfg. and Exp. date) and near-expiry reports |
| How much of one principal's stock do I hold? | Company-wise stock |
| Which items need re-ordering? | Re-order levels, order summary and re-order status |
| Which stock is old and not moving? | Stock summary and ageing |
Every report can be exported to Excel, PDF or an image, so you can send a godown's stock to your partner, your CA or the bank.
If you also run a counter or a chain of shops, ValueSoft POS shows store-wise and godown-wise stock at a glance and moves goods between stores and godowns. See POS billing software.

What do GST rules say about godowns and stock transfers?
This is a summary of the rules, not tax advice. Ask your CA how they apply to your godowns.
- Accounts for each place of business. Every registered person must keep a true and correct account of stock of goods, among other records. Where the registration certificate lists more than one place of business, the accounts for each place must be kept at that place (section 35(1) of the CGST Act).
- Moving goods without a sale. When goods travel for reasons other than a supply, the sender can issue a delivery challan instead of a tax invoice (rule 55 of the CGST Rules).
- E-way bill. A registered person who moves goods worth more than ₹50,000 in a consignment must generate an e-way bill before the movement starts, and this includes movement "for reasons other than supply" (rule 138(1)). A state can notify areas within it where no e-way bill is needed (rule 138(14)(d)), so check your state's rule.
- A branch in another state. Each GST registration of the same business is treated as a distinct person (section 25(4)). Schedule I of the CGST Act treats a supply between distinct persons, made in the course of business, as a supply even without payment. Your CA will tell you how to bill such a transfer.
