This page is for chartered accountants, tax consultants and accountants who look after distributors, stockists, wholesalers and shops. If your clients ask you "which billing software should I use?", here is what ValueSoft gives them, and what it gives you at return time.
Who is this page for?
CA firm with trader clients
You file GST returns and finalise books for many traders who bill in different software.
Tax consultant or GST practitioner
You prepare GSTR-1 and GSTR-3B every month and chase ITC mismatches.
Accountant inside a distributor
You keep the books for one business and send data to the auditor.
Trader whose CA asked for better data
See the plans and what each one includes.
What should a CA look for in a client's billing software?
Most return-time problems start at the billing counter: a wrong GSTIN, a missing purchase bill, a credit note entered as a cash payment. Billing software that you can safely recommend should:
- Keep outward data clean, with tax-wise ledgers and GSTIN checks, so GSTR-1 comes straight from the bills.
- Match purchases with GSTR-2A/2B, so ITC (input tax credit) is claimed only where the law allows it.
- Tie the books to the returns, with a monthly GST payable entry and reconciliation of GSTR-1 and GSTR-3B with sales.
- Handle credit notes, debit notes and reverse charge as GST documents, not as plain journal entries.
- Export to your tools, such as Tally, Excel and PDF.
- Control who changes what, with user permissions and an audit log.
ValueSoft is GST billing, inventory and accounting software for traders, built by Kala Softech since 1998. It runs on Windows and covers each point above.
How do GSTR-1 and GSTR-3B work from ValueSoft?
- GSTR-1 export in Excel, CSV or JSON for upload to the GST portal or the offline tool.
- Direct filing: save GSTR-1 straight to the portal, and file GSTR-1 and GSTR-3B from the software.
- Reconciliation of GSTR-1 and GSTR-3B with sales, so the two returns and the books agree.
- Tax clubbing: ValueSoft clubs input and output tax for the month and passes the GST payable entry.
- Internal audit: ValueSoft validates the data and supplier GSTINs and flags errors before you file.
- Multiple GSTINs: a business can manage all its registrations in one place.
Our Hindi video tutorial on GSTR-1 filing with ValueSoft shows the full flow.
How does GSTR-2A and GSTR-2B reconciliation work?
ValueSoft downloads the auto-populated purchase data and matches it with the client's purchase book, so you do not log in to the portal again and again. You can reconcile one month or many months at once and see mismatches before the return is filed. Auto GSTR-2 invoice reconciliation is included in the Mini, Lite, Plus and Max plans. A Hindi video tutorial walks through GSTR-2A and GSTR-2B reconciliation with data, and there is more detail on our GSTR-2B reconciliation page.
This matters because ITC now depends on GSTR-2B. Section 16(2)(aa) of the CGST Act allows ITC only when the supplier has furnished the invoice in its statement of outward supplies, and Rule 36(4) adds that the ITC must be communicated to the buyer in GSTR-2B. When a supplier's invoice is missing, the GST portal's communication between taxpayers feature lets your client message the supplier.
Can ValueSoft export to Tally?
Yes. ValueSoft exports accounting data to Tally, so a CA who finalises in Tally can keep doing so while the client bills, manages stock and files returns in ValueSoft. Ask our team to run the export on a sample company before a client switches, so you can confirm it suits your work. Clients can also send you any report, such as ledgers, outstanding, GST reports or final accounts, in Excel or PDF, by email or on WhatsApp.
What accounting does the client's software cover?
- Vouchers and ledgers: payment, receipt, journal and contra entries, ledgers and group ledgers.
- Cash and bank: cash book, bank book and bank reconciliation, and cheque printing.
- Final accounts: trial balance, trading and P&L account and balance sheet for any period.
- Receivables and payables: bill-wise outstanding, due dates, credit limits and the average payment period of customers.
- GST documents: credit notes, debit notes, reverse charge (RCM) and GST-in/GST-out entries.
- TDS and TCS entries, including a debit note against TDS to a supplier on purchases (there is a video tutorial on it).
Because billing posts to the ledgers automatically, there is no second entry of the same bill in a separate accounting package.
What about e-Invoice and E-Way Bill?
For clients who need them, ValueSoft registers B2B invoices, credit notes and debit notes with the Invoice Registration Portal (IRP) and prints the IRN and QR code on the invoice automatically. Once the e-Invoice is generated, ValueSoft locks the invoice so it cannot be edited. E-Way Bills are generated from the bill. Our e-Invoice registration guide walks a client through enabling e-Invoicing and creating the API user.
Which controls help you trust the data?
- User permissions and an audit log, so you know who entered or changed what.
- e-Invoice lock on invoices that have an IRN.
- Internal audit of data and supplier GSTINs before filing.
- Backups the client controls: local disk, their own Google Drive, or Kala Softech's backup server if they opt in (this needs internet). Clients who work offline keep their own backups.
A monthly routine you can give your client
Enter every bill
Sales are billed in ValueSoft; supplier bills are imported from CSV, Excel or PDF, with a one-time mapping per supplier.
Run the internal audit
Fix GSTIN and data errors that ValueSoft flags.
Reconcile GSTR-2A/2B
Match purchases with the portal data and follow up missing invoices with suppliers.
Check and file GSTR-1
Reconcile with sales, then export the file or save it to the portal.
Club tax and prepare GSTR-3B
Tax clubbing passes the GST payable entry; reconcile GSTR-3B with sales.
Send data to the CA
Tally export of accounting data, plus GST reports and ledgers in Excel or PDF.
Which GST rules should the setup follow?
- ITC and GSTR-2B. ITC is available only when the supplier has furnished the invoice in GSTR-1 (or GSTR-1A, or the invoice furnishing facility) and the ITC is communicated in GSTR-2B (section 16(2)(aa) and Rule 36(4)).
- ITC time limit. ITC for an invoice or debit note cannot be taken after 30 November following the end of the financial year, or after the annual return is filed, whichever is earlier (section 16(4)).
- Credit notes. A credit note must be declared by 30 November after the end of the financial year, or the annual return date if earlier. From 1 October 2025, the supplier's output tax is not reduced unless a registered buyer has reversed the matching ITC (section 34(2)).
- e-Invoice. Required for B2B invoices, credit notes and debit notes once aggregate turnover has been ₹5 crore or more in any financial year since 2017-18 (from 1 August 2023). Businesses with turnover of ₹10 crore or more must report within 30 days of the document date (from 1 April 2025).
- Record keeping. Books and records must be kept until 72 months after the due date of the annual return for the year (section 36).

Is there a partner programme for CAs?
Yes. Our partner page describes three partner paths. CAs and tax consultants are listed among the people who can become a ValueSoft Referral Partner, which needs nothing more than referring a client. CAs are also listed among those who can become a ValueSoft Channel Partner, which involves a few days of training. The commission, training and support for each path are set out on that page.
Moving a client from Tally, Busy or Marg
When a client switches from Marg, Tally or Busy, our team moves all master data and the bills too into ValueSoft, as part of free migration assistance. After the move, match the trial balance and ledger balances with the old software for the cut-over date. Our team then helps with setup and trains the client's staff on billing, purchase and GST, including in Hindi. Call or WhatsApp +91 6200826175 or email service@kalasoftech.com. See also switching from Tally.
