What is e-way bill software?

An e-way bill is an electronic document, made on the government's e-way bill system, that must go with a consignment of goods worth more than ₹50,000. E-way bill software generates it from the invoice you have already made, so you don't type the same details again on the portal.

ValueSoft generates e-way bills and e-invoices directly from your bills. It applies CGST and SGST on sales within your state and IGST on sales to other states automatically, so the bill and the e-way bill come from the same entry.

What problem does it solve?

  • "Every time a truck leaves, someone sits at the portal and types the bill again."
  • "One wrong digit in the GSTIN or the amount, and we have to cancel the e-way bill and start over."
  • "We send goods to other states every day. The bill, the IGST and the e-way bill have to match."

Generating the e-way bill from the bill removes the second round of typing, and the mistakes that come with retyping.

When do you need an e-way bill?

Section 68 of the CGST Act and Rule 138 of the CGST Rules require an e-way bill before you start moving goods with a consignment value of more than ₹50,000. The e-way bill portal says this covers:

  • outward supplies (sales), inside your state or to another state;
  • inward supplies (purchases), including purchases from an unregistered person;
  • movement for reasons other than a supply.

Points that often catch people out:

  • Your state may have its own limit for movement within the state. The portal asks you to check the rule of your state or union territory.
  • Below ₹50,000 you can still make one. Rule 138 lets you generate and carry an e-way bill even for a smaller consignment. Goods sent for job work and handicraft goods can need one below the limit in certain cases.
  • Your own vehicle counts. If you deliver the goods yourself, you still need the e-way bill. On the portal you can enter your own GSTIN as the transporter ID.
  • Old invoices. Since 1 January 2025, an e-way bill can be generated only for a document dated within the last 180 days.
  • Goods refused by the buyer. If the buyer rejects the delivery, the goods go back on a new e-way bill marked as a sales return.
  • Some goods and movements are exempt. Rule 138(14) and its annexure list them.

While the goods move, the person in charge of the vehicle must carry the invoice, bill of supply or delivery challan, and the e-way bill: a printed copy or the e-way bill number in electronic form (Rule 138A).

What are Part A and Part B of an e-way bill?

Part A holds the details of the goods and the document: the invoice, bill of supply or delivery challan. Part B holds the transport details: the vehicle number for road, or the transport document number for rail, air or ship. An e-way bill is complete only when Part B is filled. The one exception is a movement within the same state from your place to the transporter's place, when the distance is under 50 km.

On the e-way bill portal, if you don't have the vehicle number yet, you can save Part A as a "Part-A slip" and add Part B later, or enter your transporter's ID so that the transporter fills in Part B.

How long is an e-way bill valid?

Validity depends on the distance the goods have to travel.

For over-dimensional cargo the rule is one day for every 20 km or part of it. Source: e-way bill portal FAQ.
Distance (regular vehicle)Validity
Up to 200 km1 day
201 to 400 km2 days
401 to 600 km3 days
Every further 200 km or part of it1 more day

Validity starts when Part B is first entered and ends at midnight of the last day. The portal gives an example: for an approximate distance of 310 km, the validity is 1 + 1 = 2 days. If the goods can't reach in time because of an accident, a breakdown, a natural calamity or a trans-shipment delay, the transporter carrying the goods can extend the validity, from 8 hours before to 8 hours after it expires. Since 1 January 2025, an e-way bill can be extended only up to 360 days from the date it was first generated.

How does e-way bill generation work in ValueSoft?

  1. Register on the e-way bill portal once

Register on ewaybillgst.gov.in with your GSTIN and the OTP sent to your registered mobile number. Our support team helps you with the setup in ValueSoft.

  2. Make the GST bill as usual

Create the sale bill with your customer's GSTIN and the items. ValueSoft applies IGST for customers in other states and CGST plus SGST within your state.

  3. Keep the transport details ready

The e-way bill needs the transporter ID or the vehicle number (or the rail, air or ship document number), and the approximate distance. Without Part B, the e-way bill system gives only a Part-A slip.

  4. Generate the e-way bill in one click

Generate the e-way bill directly from the bill. The invoice details are not typed a second time.

  5. Share it instantly

Share the e-way bill as soon as it is generated, so the goods can move.

  6. Using e-invoices? Use the same data

If your turnover requires e-invoicing, ValueSoft generates the IRN and QR code from the bill, and the e-invoice details can be used for the e-way bill.

  7. Fix mistakes the right way

An e-way bill can't be edited. If something is wrong, it must be cancelled on the e-way bill portal within 24 hours of generation and a new one made, so check the GSTIN, value and vehicle number before you generate.

E-way bill or e-invoice: what's the difference?

An e-invoice means reporting a B2B invoice to the Invoice Registration Portal (IRP), which returns an IRN (invoice reference number) and a signed QR code for the invoice. Whether you need it depends on your turnover. An e-way bill is about moving goods. It depends on the consignment value and needs the transport details. Many distributors need both for the same bill.

When an invoice is reported through the IRP, the portal fills Part A of the e-way bill from the e-invoice details (Rule 138A(3)), and the QR code with the IRN can be shown electronically to an officer in place of a paper copy of the invoice (Rule 138A(2)). Changes recommended. On 8 October 2026 the GST Council recommended amending Sections 68, 129 and 130 of the CGST Act. Among the proposals, a vehicle could be stopped only on specific intelligence and with the authorisation of an officer not below Joint Commissioner, and not in the states the goods are only passing through. Goods moving without an e-way bill could still be inspected, detained or seized anywhere. These are recommendations until the law is amended.

FAQ

Your Questions Answered

What is the e-way bill limit?

An e-way bill is needed when the consignment value is more than ₹50,000 (Rule 138 of the CGST Rules). For movement within a state, the state can set its own limit, so check your state's rule.

How long is an e-way bill valid?

For a regular vehicle, one day for every 200 km or part of it. For over-dimensional cargo, one day for every 20 km or part of it. Validity starts when Part B is first entered and ends at midnight of the last day.

Can I edit an e-way bill after generating it?

No. Only Part B (the transport details) can be updated. If anything else is wrong, the e-way bill has to be cancelled within 24 hours of generation and a new one generated. It cannot be cancelled once an officer has verified it.

Who can generate an e-way bill?

The consignor (seller) or the consignee (buyer) as a registered person, or the transporter. A transporter who is not registered under GST must enrol on the e-way bill portal to get a transporter ID.

Can the buyer reject an e-way bill?

Yes. The other party can accept or reject the e-way bill on the portal. If they don't respond within 72 hours of generation, or before the goods are delivered, whichever is earlier, it is treated as accepted.

Do I need an e-way bill if I deliver in my own vehicle?

Yes, if the consignment value is more than ₹50,000. On the portal you can enter your own GSTIN as the transporter ID and then add your vehicle number in Part B.

Can I generate an e-way bill for an old invoice?

Only if the invoice is recent. Since 1 January 2025, an e-way bill can be generated only for documents dated within the last 180 days.

Which ValueSoft plans include e-way bills?

E-Way Bill & e-Invoice is in the Mini, Lite, Plus and Max plans. It is not in Basic, which leaves out GST reports and accounting. See the pricing page.

Do I need internet to generate an e-way bill?

Yes. ValueSoft billing works on your computer without internet, but an e-way bill is created on the government's e-way bill system, so you need an internet connection at that moment.

Is an e-way bill the same as an e-invoice?

No. An e-invoice reports a B2B invoice to the Invoice Registration Portal and depends on your turnover. An e-way bill covers the movement of goods and depends on the consignment value. Many businesses need both. See our e-invoice page.
