What is WhatsApp billing software?
WhatsApp billing software lets you send a customer their bill on WhatsApp straight from your billing software, instead of printing it or typing it into your phone. In ValueSoft the bill goes as a PDF, and you can share outstanding reports, ledgers and stock details the same way.
It sits next to SMS and email. Customers can get an SMS for the bill and for the payment you receive, and invoices, purchase orders and reports can be emailed as PDF or Excel.
What problem does it solve?
- "Customers ask for the bill on WhatsApp, so my staff click a photo of the printout and send it from their own phones."
- "Collecting payment means calling every retailer one by one and reading out the pending bills."
- "The company wants our order by email, and we type it out again every time."
Sending from the billing software fixes all three. The PDF comes from the same bill you saved, the ledger or outstanding report goes with the reminder, and orders go by email from the software.

How does WhatsApp help you collect payments?
Distributors and wholesalers often sell on credit, so collection matters as much as billing. ValueSoft keeps every credit sale in the party ledger and shows outstanding party-wise, area-wise and by due date. You can also set a credit limit and credit days for each customer and track their average payment period.
With that in place, a reminder is no longer a phone call from memory. You send the party their ledger or outstanding statement on WhatsApp, so they see the same bills you see. For a whole list of parties, bulk SMS for outstanding dues does the job in one go. If you use salesmen, the outstanding report can be run salesman-wise, so each salesman knows whom to visit.
Who uses WhatsApp billing?
Medical stores
Send bills and outstanding to customers instantly, with SMS for bills and payments received.
Retail counters
Send bills to customers' WhatsApp at the POS counter, with no paper needed.
Distributors and wholesalers
Bills, ledgers, outstanding and stock details to retailers, and orders to companies by email.
Salesmen in the field
With the CSR app, representatives book orders, share invoices and follow up on dues, synced with ValueSoft.
Can you share reports in Excel or PDF too?
Yes. Every report in ValueSoft can be exported to Excel, PDF or image, for sharing and for your records. Different people want different formats. Your CA or the company's accounts team usually wants Excel, so they can work with the numbers. A retailer is happy with a PDF on WhatsApp. An image is easy to read on a small phone screen. You choose the format each time; the report itself comes from the same data as your bills.
Email works the same way. Send invoices and purchase orders as PDF or Excel, or email any report as PDF or Excel. Sales bills can also be shared with customers in CSV or XML format, which helps a customer who imports your bills into their own software instead of typing them.
Do you need internet to send bills on WhatsApp?
ValueSoft runs on your Windows computer, and billing works without internet. You need an internet connection only for things that leave the computer, such as WhatsApp bills, SMS, email and e-invoices. If the connection drops, you can keep billing.

Is a bill sent on WhatsApp a valid GST invoice?
WhatsApp changes only how the customer receives the bill. It does not change what a tax invoice must contain. Rule 46 of the CGST Rules lists the details, among them your name, address and GSTIN; a serial number unique for the financial year; the date; the buyer's details; the HSN code; the taxable value; the rate and amount of tax; and the place of supply for inter-state sales. Rule 46 also says a signature or digital signature is not needed on an electronic invoice issued in line with the Information Technology Act, 2000.
For goods, Rule 48 asks for the invoice in triplicate: original for the recipient, duplicate for the transporter and triplicate for the supplier. That does not apply to an e-invoice, which instead carries a QR code with the IRN. If you are not sure what your business needs, ask your CA.
