Moving from Busy to ValueSoft is mostly work for our team, not for you. This page sets out what we move, who does what, the six steps of the switch, what to keep ready, what to check afterwards, and how billing, schemes, salesmen and godowns run in ValueSoft. It is written for FMCG and pharma distributors, wholesalers, stockists and retailers.
What does our team move from Busy?
Two sets of data come across, and our team moves both:
- All master data. Items, parties, ledgers and the other lists you set up once and use every day.
- Your bills. Old sale and purchase bills come into ValueSoft too, so your history moves with you.
Here is who does what during the switch:
| Task | Who does it |
|---|---|
| Move all master data from Busy | Our team |
| Move your old bills | Our team |
| Take a backup of your Busy data before the move | You |
| Check opening stock, outstanding and ledgers | You, against your Busy reports |
| Train you and your staff | Our team, by phone, WhatsApp or remote session |
| Set up the e-invoice API user | You, with our step-by-step guide |
Before the move, ask our team to tell you what to expect from your Busy data, so you know what to check on the day.

Go live
Start billing in ValueSoft from the cut-over date. Your salesmen can move to the CSR app when you are ready.
What should I keep ready from Busy?
Fix the cut-over date first; the start of a month keeps each month's GST returns in one software. Then collect these from Busy as on that date:
- A backup of your Busy data, stored on a separate drive.
- Godown-wise closing stock. Quantity and value for each godown.
- Units for each item. How many pieces make a case or a box, so stock in cases and pieces reads the same after the move.
- Running schemes. The discount %, scheme % and quantity schemes active today, with their end dates.
- Salesman and area lists, with salesman-wise outstanding.
- Party outstanding, bill by bill, for customers and suppliers.
- GST returns filed up to date. GSTR-1 and GSTR-3B for every month billed in Busy.
- Pending orders. Orders your salesmen have taken that are not billed yet, and orders sent to suppliers.
- Bill formats and printers. A sample of each printed bill, and whether you print on laser, inkjet or dot-matrix.
What should I check once the data is in?
- Stock by godown, in both units. Total quantity and value for each godown, then a few items in cases and in pieces.
- Outstanding. Party-wise totals, salesman-wise outstanding, and your largest parties bill by bill.
- Ledgers. Cash, bank and GST ledger balances, and the trial balance totals.
- Old bills. Open a few from different months and compare the items, rates, schemes, tax and total.
- Schemes and discounts. Check that the settings for your main items are the ones running today.
- GST rate and HSN code on each item.
- Printing. A test bill on every printer, including the dot-matrix one if you use it.
Report any difference to our team before your first live bill.
How does daily work run in ValueSoft?
Case and piece billing
Each item can carry a primary and an alternate unit, such as case and piece, with a tax-in-rate option. Scan barcodes at the counter, keep a separate bill series for each company, and see a warning before a loss or low-margin sale.
Schemes and discounts
Give discount %, scheme %, QPS (a scheme based on the quantity a party buys), product-wise schemes and party-wise product discounts, all on the bill.
Salesmen and godowns
Bill salesman-wise and godown-wise. The loading sheet gives a salesman-wise sale summary, and you can see outstanding salesman by salesman. Stock shows godown by godown in primary or secondary units, and you can transfer stock between godowns.

Orders from the field
Salesmen book orders on the CSR app with schemes and discounts, check live stock and follow up on dues. Retailers can order on the eRetail app at any hour. Orders reach the office through Kala Softech's server, and orders from the Owner App can be turned into bills automatically.
Purchase and supplier orders
Import purchases from your supplier's CSV, Excel or PDF file with a one-time mapping per supplier, and let ValueSoft work out the sale rate from the purchase rate and margin. Orders to suppliers are prepared from sales, current stock and reorder level, with suggested quantities, and can be emailed to the company.
Dispatch
Follow each order step by step: order printing, arranging goods, bill audit, packing and delivery.
GST, e-way bill and e-invoice
Export GSTR-1 to Excel, CSV or JSON, or save it directly to the GST portal. Reconcile GSTR-1 and GSTR-3B with your sales and GSTR-2A/2B with your purchases. E-way bills and e-invoices are made from the bill in one click.
Backups and your CA
You decide where backups go: a local disk, your own Google Drive, or, if you opt in and have internet, Kala Softech's backup server. If your CA works in Tally, ValueSoft exports accounting data to Tally.
Which plan should I pick?
Every plan is a one-time price with GST included. Updates and support are free for the first year; from the second year there is a yearly AMC (annual maintenance charge) of ₹3,500 per user. Mini, Lite and Plus have monthly limits: ₹2.5 lakh and 450 bills, ₹5 lakh and 600 bills, and ₹7.5 lakh and 800 bills. Basic and Max have no billing limit, but Basic leaves out GST reports, accounting, e-way bill and e-invoice. If you make e-way bills and keep accounts, choose from Mini, Lite, Plus and Max by your monthly billing. You can upgrade later and the prorated amount is adjusted.
